Administrative Board Meeting Minutes

April 12, 2026


Opening

The Board met with 10 members and 4 visitors present. Chairperson Heather Noel opened the meeting with a devotional from Psalm 2:11 on God’s season of life.

Reports Approved

The minutes were approved by consensus vote. Due to a death in Marlene Wood’s family, she was not present to give a treasurer’s report.

Administrative Note

Heather Noel suggested that committee reports just include future business.

Committee Reports

CCA: Terran Ivey reported they will have a meeting April 21st for planning the Summer Kickoff Bash fundraiser. The proceeds from this event will go to the Sanctuary project. She will be speaking at both services on May 3rd and the CCA will host Sunday Table that evening at 5:00. The Summer kickoff is set for June 6th. This event will have many vendors. She is researching ideas for teacher appreciation day. CCA treasurer Randy Black presented a report of the finances from 2023 to present day. He said it was a confusing system but things are straightened out. See attached report.

Children’s Ministry: Heather Noel reported for Jessica Brown, they had 77 children photographed, with many more present at the Breakfast with the Easter Bunny. She thanked all of those that donated candy and prizes. The men prepared a wonderful breakfast and her committee wanted to give them a monetary donation. The Brothers in Christ asked that they give that to the sanctuary fund. Her committee will discuss the amount at their next meeting.

Board Discussion: There was a great deal of discussion on board attendance and who comprises the board members. This discussion was brought on due to the low attendance and questionable quorum to vote.

Finance: Mike Craver reported they now have an online payment available for the youth parents. The parents will fill out the member name and the event. These transactions will be recorded as non deductible donations. We are $9,600 behind on our year to date budget. We did have two snowed out Sundays.

Youth: Chase Leonard reported the youth will be hosting graduation Sunday. The Youth and their representatives were at the Field of Faith event in Forsyth County.

Staff Parish: Jeff Mendenhall reported they are working on an employee handbook and he hopes to have it complete by the end of summer. He has been working on their books. We have an applicant for pianist. He asked to serve as chairperson for Staff Parish until the end of 2026 and then be replaced due to his dual roles.

Votes: The Board voted to allow Jeff Mendenhall to serve as staff parish chair in the interim until December 2026. The Board also voted to add another at large board member to also serve in the interim until December 2026.

Technology: Tina Fulcher reported that Spectrum finally came and discovered one of our modems was outdated. They made some tweaks and the new modem should be installed shortly. They plan on doing a ChurchTrac drive to help our members get on the system. They will also be starting an inventory of all electronics.

Worship: Christine Brinkley thanked all the people who did Lenten Reflections, it was very meaningful and people spoke from their hearts. Future events: May 10th the Youth will have Mother’s Day. May 17th is graduation Sunday. We have 7 graduates at this time and we will be celebrating our church’s 132nd year. May 24th we will have Sacred Harmony at both church services. There will be a covered dish meal after the 11:10 service. May 24th is Pentecost Sunday.

Next Meeting

Due to Mother’s Day, the next Board meeting will be May 3rd at 3:00.

Administrative Board Meeting Summary

March 8, 2026


Opening

The Board met with 15 members and 3 guests present. Chairperson Heather Noel called the meeting to order with a devotional of St. Patrick, encouraging all to see Christ in every season and to look for God in daily tasks.

Reports Approved

Marlene Wood presented the treasurer’s reports for January and February. The minutes and treasurer’s reports were approved by consensus vote.

New Business

The Keystone Co-Op requested use of the Faithseekers classroom. The vote passed to allow access.

Sanctuary Project Update

Donald Hamilton (Long Range Chair) and Reida Snyder (Design Committee) presented updates including banners, pledge cards, paint, upholstery fabric, flooring samples, and layout diagrams. These will be presented to the church on March 15. Pledge campaign results will be announced April 19 at the Celebration covered dish meal.

Committee Reports

CCA: Terran Ivey shared plans for a membership drive and educating the congregation about CCA. Policies and missions are being developed. Randy Black is assisting with finances. Growth is occurring. Upcoming events include June 6 cook-off fundraiser, May 3 Sunday Table, and Teacher Appreciation Week.

CCA Director: Deena Tolley reported open enrollment is being advertised on Facebook and ChurchTrac. Summer camp information is coming soon. Guest readers participated in Read Across America for Dr. Seuss week.

Children’s Ministry: Jessica Brown reported new curriculum (Gospel Project). Help is needed for the Easter float, suggested as a full church effort. Discussion planned for January 2027. Heather Noel added that Angie Leonard needs 4th grade VBS shepherds (leader + assistant).

Leadership Changes: Miranda Doomy is stepping down as Discipleship Chair. Tanya Tennant is stepping down as Evangelism Chair due to family health concerns.

Finance: Mike Craver shared current budget status.

Next Gen Ministry: Kaitlyn Berrier reported youth events are on ChurchTrac. Upcoming: May 3 Sunday Table (CCA hosting), ski/ice skating trip, Good Friday Cross Walk (10:00 start at Oak Forest Church ending at Midway). Electronic payment options discussed but unresolved. Rising 5th graders will transition June 28.

Staff-Parish: Jeff Mendenhall reported pianist search continues. Brenda Troutman is serving temporarily. Church coordinator Annie Hege proposed new hours (under review) and requested bulletin info by Tuesday at noon.

Technology: Tina Fulcher reported efforts to improve Wi-Fi and reduce cost. Live stream issues continue. Assistance is available for ChurchTrac help. Report any classroom tech issues.

Trustees: John Snyder reported carpet cleaning in CFC and kitchen, bus cameras installation this month, and keypad replacement due to lightning damage.

Worship: Christine Brinkley thanked Lynn Upchurch and Pastor Mitch. Flower calendar is open. Flowers may be placed Saturday or Sunday and removed after 11:10 service.

Old Business

Terri Bates discussed office relocation options; no changes at this time.

Pastor Mitch Wilson proposed a “Tree of Life” fundraiser.

Tim Kepley granted permission for church signage and use of his barn for Easter parade food sales.

Revival scheduled October 18–22 with nightly meals coordinated by Family Ministry.

Welcome School approved to use CFC May 29 for 5th grade promotion.
